Classes

Manage academic classes, instructor assignments, student enrollments, and real-time attendance scanning. Employee Divine Services and Christian Values Education (CVE) sessions are also managed here.

Overview & Description​

The Classes module connects teachers, enrolled student rosters, campus rooms, active semesters, and academic departments into an easy-to-use digital roster.

Key Characteristics:

  • Repeatable Weekly Schedules: Unlike one-time school events, classes recur on set days of the week (Monday, Wednesday, Friday) during configured time windows (13:00 - 15:00).
  • Flexible Academic Scope: Covers standard collegiate and basic education subjects, student Christian Values Education (CVE) classes, and employee Divine Services.
  • Live Class Scanning: Teachers can run instant roll-call attendance check-ins directly from their smartphone or laptop.

Fields & Class Information​

Understanding what each field represents when creating or updating a class:

Field NameDescription
TitleThe official class or subject name (e.g., Biology 101 - Sec A, SHS CVE, Staff Divine Service).
DaysThe days of the week this class meets (e.g., Monday, Wednesday, Friday).
Start Time / End TimeThe scheduled class hours (e.g., 08:00 AM - 10:00 AM). Used to calculate on-time vs. late attendance check-ins.
InstructorThe primary faculty member or adviser assigned to teach this class.
Co-InstructorsAdditional teachers, teaching assistants, or substitute instructors who share attendance-taking privileges.
StudentsThe list of enrolled students belonging to this class roster.
AreaThe physical classroom, laboratory, or campus hall where the class meets.
SemesterThe active academic term or semester governing this class.
DepartmentThe academic department or grade level overseeing the course (e.g., College of Computer Studies, Senior High School).

Standard Operations​

How to Add a New Class​

Click the + (or Add Class) button in the top action bar of the Classes page. You have two flexible modes:

  1. In the default Class List Mode tab, drag and drop or browse for your official EduSuite Class List report (.xls or .xlsx).
  2. Click Analyze Class List. ScannerSky automatically:
    • Extracts the Class Title directly from Row 7.
    • Extracts the weekly Schedule Days and Start Time.
    • Auto-matches the student roster against registered Person records.
  3. Review the preview card showing the detected title, schedule chips, and matched student count.
  4. Click Confirm & Continue to Form. ScannerSky smoothly switches to the form with Title, Days, Start Time, and matched Students prefilled.
  5. Select the Semester, Department, and Area, specify the End Time, and click Save.

Option B: Manual Mode​

  1. Click the Manual Mode tab.
  2. Enter the Title, select the meeting Days, and set the Start Time and End Time.
  3. Choose the Instructor, Semester, Department, and assigned Area.
  4. Select enrolled students via the autocomplete search field or enroll them later via Manage Students.
  5. Click Save.

How to Update Class Details​

  1. Click the Class Title in the first column of the table.
  2. Modify schedule times, update instructors, or adjust classroom assignments.
  3. Click Save or Save and continue editing.

How to Delete a Class​

  1. Open the target class from the list.
  2. Click Delete in the top action bar and confirm.

Custom Row Actions (... Menu)​

Click the three dots ... on the far right of any class row to trigger custom operational actions:

1. Start Scanning​

  • Purpose: Opens the live attendance scanning screen for this specific class session.
  • When to Use: Ideal when the classroom or venue does not have a dedicated wall-mounted scanner kiosk.

:::tip Scanning Hardware Modes ScannerSky supports two quick scanning modes:

  1. Phone (NFC) — Recommended Mode: Open ScannerSky on any NFC-enabled smartphone (e.g., Android Chrome). Tap Start NFC Scan, grant browser NFC permission, and simply tap student ID badges against the top-back edge of the phone (near the camera lens).
  2. Laptop (Windows Bridge) Mode: Connect a USB RFID/NFC card reader to your computer and launch the lightweight Scannersky Bridge desktop utility. Click Connect to Bridge to capture badge taps in real time. :::

How to Take Live Attendance:

  1. Click ... on the target class row and select Start Scanning.
  2. Select either Phone (NFC) or Windows (Bridge) depending on your device.
  3. Have students tap their badges. The screen will instantly display the student's photo, name, student number, and verification status with an audible chime.

2. Manage Students​

  • Purpose: Opens the visual roster management workspace to enroll or withdraw students.
  • How to Use:
    1. Click ... on the class row and select Manage Students.
    2. Choose one of the three convenient enrollment methods:
      • Bulk Map Students (Excel Import): Click Map Students, choose Class List Mode (for exported subject rosters with auto-detected headers) or Enrollment Report Mode (for Edusuite horizontal reports), preview matched students against saved Persons, and enroll the entire roster in seconds.
      • Quick Add by Group: Select a Department, Class, or Campus Event, choose the target group (Students, Employees, or Both), click Preview Persons, and bulk-enroll the filtered list with one click.
      • Manually Add Student: Type a student's name or School ID into the search box and click Add to enroll them individually.
    3. View the current enrolled roster at the bottom of the page, where you can search names or remove dropped students as needed.

3. View Attendances​

  • Purpose: Opens the complete historical attendance log and visual calendar matrix for this class.
  • How to Use:
    1. Click ... on the class row and select View Attendances.
    2. Browse through the monthly attendance calendar showing daily scan summaries.
    3. Click on any calendar day to open the Day Detail Modal to review exact tap timestamps, arriving status (On-Time / Late), and student profile photos.
    4. Click Export Excel or Export Roster to download official attendance sheets formatted for grading and registrar submission.

Classroom Exception Handling & Tips​

  • Student Forgot Their ID Badge: Teachers can manually record attendance or look up the student by School ID in the View Attendances log.
  • Lost or Replaced Badges: When the registrar assigns a new card to a student, the student's enrollment and past attendance history across all classes remain completely intact.
  • Offline Safeguard: If classroom Wi-Fi briefly disconnects, taps recorded through the bridge or mobile reader queue safely and sync as soon as connection is restored.

Access & Permissions Notice

Operations such as viewing, adding, updating, and deleting class records or launching live scanning may be subject to user or group permission restrictions. Access to permissions can be coordinated with your administrators if needed.

Q: Who would likely have Adding, Editing, or Deleting access to this feature?

Q: Why don't I see the "Start Scanning" option on a class?
A: In the system, live scanning actions appear for assigned instructors, co-instructors, or users with change permissions for that class. If this option is not available, coordinate with your administrators to check your class permissions.

Q: How do I export attendance records for grading or reporting?
A: Go to Classes, click ... next to your class, select View Attendances, and click the Export to Excel or Export Roster button in the top right to download attendance spreadsheets.
